Location: Support Office AmstelveenJob Summary:
This position is part of the Group Reservations Cluster (f/m/d), supporting a set of 10 hotels across the Netherlands and Belgium. The portfolio encompasses a diverse range of franchised properties with brands such as Accor, IHG and Hilton. This role is primarily based in our cluster office in Amstelveen but may include working from the hotels occasionally.
To ensure that the hotels within the Borealis Hotel Group attract the most suitable group bookings, the Group Reservations Coordinators are jointly responsible for managing all group reservations of 10 rooms or more across the entire cluster. This involves close collaboration with other Group Reservations Coordinators, on-property Reservations Coordinators, Sales Managers, and dedicated Revenue Managers to optimize overall performance.Key Responsibilities:
  • Manage all aspects of group reservations (10 rooms and above), from initial inquiry to final confirmation
  • Respond to leads received through various platforms, including Cvent, Delphi, Meeting broker, Tripmakery etc.
  • Prepare customer proposals, contracts, invoices and any other relevant booking documentation as required
  • Work simultaneously with different Property Management Systems (PMS) Such as Opera and Opera Cloud to manage group blocks
  • Work closely with the Revenue Managers for pricing decisions
  • Ensure accurate recording of all leads (including turn downs and lost business), accounts, contacts, and activities within the designated Group Tool.
  • Proactively acquire new clients and cultivate strong relationships with both new and existing customers
  • Proactively identify and pursue opportunities to cross-sell group bookings across hotels within the Borealis Portfolio.
  • Effectively manage and develop relationships with key internal and external stakeholders
  • Ensure timely and accurate transfer of group bookings to the respective hotels.
  • Produce accurate daily, weekly, and monthly reports 
  • Work on projects and other (administrative) tasks as required




Job Requirements
Qualifications/Skills:
  • Completed secondary education or higher education degree
  • Prior experience in an operational or commercial role within the hotel industry
  • A pro-active individual who demonstrates initiative
  • Excellent organizational skills with the ability to prioritize tasks and attention to detail
  • A strong customer-centric approach
  • Excellent written and verbal communication skills in English. Fluency in Dutch and/or other languages is considered a significant advantage.
  • Prior experience with Opera and/or Opera Cloud is a plus
